Summary:
We are searching for a senior Estate Manager to step into a true leadership role within a complex, multi-property private Family Office environment. This is not a traditional estate management position. It is an opportunity to design, build, and lead the infrastructure behind a growing portfolio that values calm, clarity, discretion, and excellence. Partnering closely with the President of the Family Office, you will be entrusted with real ownership over people, systems, and experience. Your mandate is to create an environment that absorbs complexity so the client does not have to, making daily life feel effortless as operations scale. Every decision, from staffing and scheduling to vendor selection, systems design, and capital investment, is evaluated through one lens: does this reduce stress, increase ease, and allow the household to function with quiet excellence? This is a staff-level, embedded leadership seat for someone who wants to build something enduring and finds meaning in work that is rarely flashy but deeply impactful.
Required Skills:
You will be responsible for the full operating environment across multiple residential properties, including property operations, preventative maintenance, warranties, and capital planning. You will build and manage a best-in-class vendor ecosystem, steward property-related spend with rigor and judgment, lead the on-site team (owning schedules, performance reviews, development, and future hiring), and ensure the guest and family experience is prepared, welcoming, and frictionless. This estate is operated through modern digital systems. You will manage all workstreams, projects, and maintenance through centralized platforms including The Nines software, shared dashboards, and AI-driven task-management tools designed to surface risk, anticipate needs, and scale cleanly over time. Success requires fluency with technology that creates calm rather than complexity.
Candidates should have proven experience managing complex residential or estate properties, demonstrated ability to build and operate through systems rather than personal heroics, and fluency with AI and modern technology platforms. We seek someone who is highly communicative, data-informed, and has a track record of longevity in previous positions. The ideal candidate is self-managing, exercises discretion and sound judgment, and thrives in high-touch, high-end environments. This role requires meticulous attention to detail, from tracking warranties and schedules to understanding project sequencing. The successful candidate will be exceptionally resourceful and consistently stay one step ahead of household needs. Candidates with knowledge of "The Nines" software will have a distinct advantage.
